Every Document You Need — Explained

Spanish consulates are strict about document presentation. It is not enough to have the right documents — they must be in the correct format, correctly certified, and in the correct order. Below is a full breakdown of every document required for the Spain student visa (Type D), as accepted by Spanish consulates in 2026.

Valid Passport

Mandatory

What it must be

  • Original passport (not a copy)
  • Valid for at least 6 months beyond your study end date
  • At least 2 blank pages for visa sticker
  • Photocopy of the biographical data page
  • If you have a previous passport with Spanish visas, bring that too

Practical notes

The consulate affixes the visa sticker directly to your passport. If your passport expires soon, renew it before applying — this alone can add 4–8 weeks to your timeline. Bring any previous passports if relevant.

EX-00 National Visa Application Form

Mandatory

What it must be

  • Official EX-00 form from the Spanish government
  • Completed in capital letters (not typed — or fully typed, consistently)
  • Signed in blue or black ink
  • Two copies usually required
  • Do not leave any mandatory fields blank

Enrolment / Acceptance Letter

Mandatory

What it must contain

  • Issued on official institution letterhead
  • Signed by an authorised representative
  • Course name and official recognition number
  • Start and end dates of the course
  • Minimum 20 hours per week study hours
  • Your full legal name (matching your passport exactly)

Practical notes

Conditional acceptance letters are accepted at most Spanish consulates, provided they confirm a place has been allocated pending visa approval. Some consulates want the letter in Spanish — check with your specific consulate. If the letter is in English, a sworn translation is required.

Bank Statements (Financial Proof)

Mandatory

What they must show

  • 3–6 months of official bank statements
  • Account holder's full name and address
  • Consistent balance of at least €600/month × course duration
  • No very recent large lump-sum deposits (raises red flags)
  • Must be printed official statements — not screenshots

Practical notes

Download official statements from your online banking portal or request them from your bank. If the statements are in English, you need a sworn Spanish translation. If being sponsored, your sponsor's statements must also be provided alongside the sponsorship letter.

Private Health Insurance

What it must cover

  • Full medical and hospitalisation cover in Spain
  • No copayments or deductibles
  • No geographical exclusions within Spain
  • Repatriation cover included
  • Dates must cover the full visa period
  • Policy document must name you as the insured person

Practical notes

University student cards, European Health Insurance Cards (EHIC), and travel insurance policies are not acceptable. Specialist expat health insurance or Spanish private health insurers (Sanitas, Adeslas, Asisa) are widely accepted. We can refer you to suitable providers.

Criminal Record Certificate + Apostille

Mandatory

What it must be

  • Issued by your home country's national police authority
  • Issued within the last 3–6 months
  • Must carry a Hague Apostille from the competent authority
  • Accompanied by a sworn Spanish translation
  • Do not laminate
  • If lived in multiple countries: may need multiple certificates

How long it takes

This is the longest-lead-time document. The certificate itself can take 2–6 weeks. The apostille adds 2–4 more weeks. The sworn translation adds 1–2 weeks. Start this process the moment you confirm your study place. In the UK: ACRO or DBS Enhanced certificate + FCDO apostille.

Medical Certificate

Mandatory

What it must contain

  • Signed and stamped by a licensed medical doctor
  • States you have no contagious or infectious diseases
  • Written in or accompanied by a sworn Spanish translation
  • Issued within 3 months of your consulate appointment
  • Doctor's name, registration number, and contact details

Practical notes

The medical certificate must follow a specific format accepted by Spanish consulates — it is not simply a letter from your GP. We provide our clients with an approved template they can take to their doctor. A standard GP appointment is sufficient; no specific tests are usually required.

Proof of Accommodation in Spain

  • Signed rental contract (in your name or joint)
  • University residency confirmation letter
  • Notarised host family declaration
  • Initial accommodation booking confirmation (some consulates)
  • Letter from an employer if accommodation is included

Practical notes

The accommodation must be in the city where your course takes place. You do not need a permanent contract — initial accommodation proof is acceptable, but it must be specific (address, dates). Sworn Spanish Translations

What must be translated

  • Bank statements (if in English or other language)

What makes it 'sworn'

A sworn translation must be produced by a translator officially recognised by Spain's Ministry of Foreign Affairs (Ministerio de Asuntos Exteriores). The translation carries the translator's stamp and a sworn declaration of accuracy. Online translation services, bilingual friends, and Google Translate are all unacceptable. Sponsorship Letter (if applicable)

Required if

  • Your funds are held by a parent or guardian (not in your name)
  • You are presenting a combination of your own and a sponsor's funds
  • Must be accompanied by sponsor's ID and bank statements

Format required

The sponsorship letter must be signed, dated, and state clearly that the sponsor accepts responsibility for your financial support during your studies in Spain. It must be accompanied by a sworn Spanish translation if in English. We provide an approved template to all clients.

Order Matters

Present documents in the same order as the consulate's published requirements. Use a clear folder with numbered dividers. Consular officers process many applications per day — making their job easier works in your favour.

Originals + Two Sets of Copies

Bring the original documents and two complete sets of photocopies. Some consulates only need one set; others want two. Having two sets means you are never caught short. Organise copies in the same order as the originals.

Translation Stays With Its Document

Keep each sworn translation physically attached to (or directly behind) the document it translates. Do not bundle all translations together. The officer needs to match each translation to its source document instantly.

The mandatory documents are: valid passport, EX-00 application form, enrolment letter from a recognised Spanish institution, 3–6 months of bank statements, private health insurance policy, apostilled criminal record certificate, medical certificate, proof of accommodation, and sworn Spanish translations of all non-Spanish documents. You may also need a sponsorship letter if a parent or guardian is providing financial support.
You must bring both originals and at least one complete set of photocopies to your consulate appointment. The consulate keeps the copies and returns the originals. Some consulates require two sets of copies — always check with your specific consulate in advance.
Bank statements should cover the most recent 3–6 months. Your criminal record certificate and its apostille must typically have been issued within 3–6 months of your consulate appointment. The medical certificate should be no older than 3 months. Your health insurance must be valid at the time of application and cover the entire visa period.
