Our fees are structured across two milestones so that the larger payment only arises once your student visa is approved. This policy explains how our milestone payments work, what happens if your application is refused, and how cancellation is handled. We structure our fees across two milestones so that you are never charged the full amount upfront and you never pay the second, larger milestone if your visa is refused. Milestone 1 covers the cost of opening your case and all the preparation work carried out on your behalf. Milestone 2 is only charged once the Spanish consulate approves your student visa.
This model means you pay €300 to get started and €499 only on success — a total of €799 for a successful application. If your application is refused, you pay only the €300 Milestone 1 fee already charged; the €499 Milestone 2 is never raised.

Total cost on approval: €799. If your application is refused, you are charged only the €300 Milestone 1 fee. Milestone 2 (€499) is never raised.
If the Spanish consulate refuses your student visa application, Milestone 2 (€499) is never charged. This amount simply does not arise.
Milestone 1 payments already made are non-refundable. These fees reflect the substantial professional work already carried out on your case: eligibility assessment, document review and preparation, coordination of sworn translations, preparation of consulate application forms, pre-submission review, and case management throughout the process.
Following a refusal, our case team will review the consulate’s decision with you and advise on available options — including reapplication or appeal — at no additional charge for the initial review.
Refusals caused by inaccurate, fraudulent, or incomplete information provided by the client do not affect our right to retain all fees already paid.
If you cancel your case before any work has commenced on Milestone 1, a full refund of your Milestone 1 payment (€300) will be issued. Work on Milestone 1 typically commences within 1–2 working days of payment being received, at which point the payment becomes non-refundable.
To request a cancellation before work commences, you must contact us by email at hola@myspanishstudentvisa.com as soon as possible after payment, clearly stating that you wish to cancel. We will confirm by return email whether work has commenced and whether a refund is applicable.
Once we confirm that work has commenced on your case, the Milestone 1 payment is non-refundable regardless of any subsequent decision to withdraw from the service.
If you choose to withdraw from the service at any point after work has commenced, or if you fail to respond to our team’s communications, fail to provide required documents, or otherwise cause your case to stall or lapse for a period of 30 or more days without explanation, the fees already charged remain non-refundable and are not returned.
In cases of prolonged non-engagement, we reserve the right to close your case. If your case is closed due to abandonment, Milestone 2 will not be charged, but no refund of Milestone 1 will be made.
If you wish to resume a case that has lapsed, please contact us. Depending on how much time has passed and whether your documents require updating, an additional preparation fee may apply.
The Spanish consulate charges a visa application fee (tasa) that is paid directly by you at your consulate appointment. This fee is set by the Spanish government and is separate from our service fee. It is not included in our €799 total and is not refundable by us under any circumstances.
The exact amount of the consulate fee varies by nationality and is subject to change. We will advise you of the applicable fee as part of your case preparation. You should budget approximately €80 for most nationalities, though this figure may differ.
Costs incurred on your behalf with third-party providers during case preparation — including official sworn translations, notarisation, apostilles, criminal record certificate requests, and any other third-party services instructed on your behalf — are non-refundable once instructed. These involve contracted external service providers whose fees are committed on your behalf as part of the document preparation process.
We will always inform you before instructing any significant third-party service on your behalf. Third-party costs are typically included within our fixed fee structure, but where additional services are required we will quote separately and seek your agreement before proceeding.
If you have a question about a charge or believe a payment was taken in error, please contact us as soon as possible at hola@myspanishstudentvisa.com with your case reference number and a description of your query. We will acknowledge all billing queries within 2 working days and aim to provide a full response within 10 working days.
Please do not raise a payment dispute with your card issuer or bank without first contacting us, as this may delay resolution. We are committed to resolving genuine billing errors promptly.
If you are dissatisfied with how your case was handled or with the application of this refund policy, please contact us in the first instance at hola@myspanishstudentvisa.com. We will make every reasonable effort to resolve your concern fairly and promptly.
If a dispute cannot be resolved through direct correspondence, it is subject to the governing law and jurisdiction provisions set out in our Terms and Conditions — namely the courts of England and Wales.
We may update this refund policy from time to time. When we make changes, we will update the “Last updated” date at the top of this page. The version of this policy in force at the time you made your payment governs your rights in relation to that payment.
