The Spain Student Visa Timeline — What to Do and When

This timeline assumes a course start date 10 weeks from today. Work backwards from your intended travel date to calculate your personal deadlines.

Wk 1–2

Enrol in Your Course & Request Criminal Record Certificate

These two tasks run in parallel from day one. Your enrolment letter can take 5–10 working days from most schools. Your criminal record certificate must be requested immediately — it is the longest single document to obtain in the entire process.

  • Select and enrol in an accredited Spanish school (20+ hrs/week, 90+ days)
  • Pay tuition and request your enrolment letter for visa purposes
  • Request your criminal record certificate from your country's relevant authority
  • Order any expedited service available to speed up the certificate
  • Book your consulate appointment — even before you have all documents ready
⚠ Do not wait for your enrolment letter before starting the criminal record — run both simultaneously.
Wk 2–4

Obtain Health Insurance, Medical Certificate & Financial Documents

While the criminal record is being processed, complete the remaining documents. Health insurance, your medical certificate, and bank statements can all be prepared in parallel. This is also the time to complete and print your EX-00 form.

  • Purchase Spain student visa-compliant health insurance (must cover full stay)
  • Obtain your medical certificate from a registered doctor
  • Gather last 3–6 months of bank statements
  • Arrange accommodation proof (rental contract or host letter)
  • Complete and print the EX-00 national visa application form in Spanish
  • Prepare 2 passport photos (biometric standard)
Wk 3–5

Submit Criminal Record for Apostille

As soon as your criminal record certificate arrives, send it immediately for apostillisation. Do not delay — the apostille adds another 2–4 weeks in most countries. In some countries you can request the apostille at the same time as the certificate.

  • Receive your criminal record certificate
  • Submit to the competent authority for apostille (FCDO/State/DFAT depending on country)
  • Use an expedited service where available
⚠ UK applicants: FCDO postal apostille takes 2–4 weeks. Consider the premium same-day counter service if timing is tight.
Wk 5–7

Send Apostilled Certificate for Sworn Spanish Translation

Once apostilled, your criminal record certificate must be sworn-translated into Spanish by a certified sworn translator. Most sworn translators turn around documents in 3–7 working days. Order the translation immediately on receiving the apostilled document.

  • Receive apostilled criminal record certificate
  • Commission a sworn Spanish translation from a certified translator
  • Review the completed translation for accuracy before your appointment
Wk 6–8

Attend Your Consulate Appointment

With all documents in hand, attend your pre-booked consulate appointment. Bring originals and copies of everything. The consulate will take your passport for visa processing — do not book non-refundable travel before this stage.

  • Attend appointment with original passport + all documents
  • Pay the consulate visa fee (approx. €80)
  • Submit all documents — consulate retains your passport
Wk 7–14

Await Processing & Collect Your Visa

Processing time varies by consulate (see table below). You will be notified when your passport is ready. Collect it and verify all visa details — name, dates, and duration — before leaving the consulate.

  • Wait for notification from the consulate
  • Collect your passport with visa sticker
  • Check all details on the visa sticker carefully
  • Book your flights to Spain — now it is safe to book non-refundable travel
On Arrival

Arrive in Spain & Complete Post-Arrival Administration

Within 30 days of arriving in Spain you must complete two administrative steps: empadronamiento (municipal census registration) and your TIE card appointment at the local foreigners' office. Both are essential for legal residence.

  • Register your address (empadronamiento) at your local town hall
  • Book and attend your TIE card appointment at the Oficina de Extranjería
  • Register with your school and start your course
